Privacy Policy

MyVitalAssistant is operated by Vital Consulting ("we", "us"). We provide marketing attribution and reporting services to businesses ("customers").

Information we process

On behalf of our customers, we process:

• Website interaction data collected by our tracking script on customer websites, including page views, referral source, advertising click identifiers, and a first-party cookie identifier.
• Contact information (such as name, email address, and phone number) and transaction records from the customer's CRM (Keap) and other business systems the customer connects, as authorized by the customer.
• Accounting data from QuickBooks Online, where the customer connects it: customer records, invoices, and payments, read to reconcile revenue against the customer's CRM and marketing activity. Reporting access is read-only. Where the customer enables the optional two-way sync, we create and update records in QuickBooks Online and the customer's CRM on the customer's behalf, and every change is recorded in an audit trail the customer can review.
• Advertising spend and performance data from advertising platforms the customer connects, such as Google Ads and Meta.
• Call log data from call tracking platforms the customer connects.

How we use it

We use this information solely to provide reporting and attribution services to the customer that owns the data: connecting marketing activity to business outcomes, and, where the customer enables it, sending conversion events (with identifiers hashed) to the customer's own advertising accounts.

When a customer uses the dashboard's question feature, the account's report data (which can include contact names, email addresses, and phone numbers) is sent to Anthropic's Claude API to generate the answer. Anthropic does not use API inputs to train its models. Questions are answered from the customer's own data only.

We do not sell personal information. We do not use one customer's data for another customer's benefit, and we do not use it for advertising of our own.

Cookies

Our script sets a first-party cookie on customer websites to recognize returning visitors. Customers are responsible for presenting any legally required notices and obtaining any required consents on their own websites.

Retention and deletion

Data is retained while the customer maintains an active account and deleted upon verified request or account termination. Individuals may contact us, or the relevant business, to request access or deletion.

When a customer disconnects a connected service such as QuickBooks Online, we discard the stored access credentials for that service and stop retrieving data from it.

Security

Data is encrypted in transit and at rest. Access is limited to what is required to operate the service.
